Platform Overview

GradeTransferer can grab the total grade from your Otus Gradebook! This allows you to effortlessly transfer scores into your supported district gradebook. Watch the video for a full walkthrough and keep reading for step by step directions and troubleshooting tips.

Grabbing - Total Grade Percent

If you have weighting enabled in Otus, the total grade will be displayed and grabbed as a percent.

Ex: "98.18"

  1. Navigate to your Otus Gradebook page in the Assessments tab where the Total Grade column is visible as a percent because weighting is set.

  2. Click the big, green 'Grab Data' button in the GT extension. The students' total grades will be automatically grabbed as a percent.

  3. Check the popup summary to view the grabbed data before filling into your next gradebook.

    Tip: If you want your scores rounded, use GT's Rounding Feature.

    Tip: If you want to transfer grades as points, see the next section or use GT's Scaling Feature.

Otus Grabbing Percent With Weighting Setup

Grabbing - Total Grade Points

If you do not have weighting enabled in Otus, the total grade will be displayed and grabbed as both a score and a percent. You can tell GradeTransferer to drop the unwanted information using the Pattern Remover so that only the earned points are grabbed.

Ex: "110 / 150 (73.33" ⮕ "110"

Initial Pattern Remover Setup:

  1. Navigate to the Pattern Remover in GradeTransferer by clicking on the 3 horizontal lines in the extension (hamburger button) ⮕ Advanced Settings ⮕ Pattern Remover tab.

  2. Scroll to "Live Area [Grades]" and input a "/" character in one of the boxes.

    This will save automatically and tell GradeTransferer to always remove everything starting with and including that character when grabbing.

    Otus Pattern Remover Initial Setup

Grabbing:

  1. Navigate to your Otus Gradebook page in the Assessments tab where the Total Grade column is visible as points and percent (weighting is not setup).

  2. Click the big, green 'Grab Data' button in the GT extension. If you have the pattern remover setup (see steps above), the students' total grades will be grabbed as points.

  3. Check the popup summary to view the grabbed data before filling into your next gradebook.

    Tip: If you want to transfer grades as a percent, see the section above or use GT's Scaling Feature.

    Tip: If you want your scores rounded, use GT's Rounding Feature.

Otus Grabbing Points

Grabbing - Single Assignments & Other Scores

If you want to grab other types of grades than the Total Grade Percent or Total Grade Points outlined above, you can use GradeTransferer's Clipboard Grab feature to grab scores from an Otus CSV Download.

  1. Click the ... icon in your Otus Gradebook and select "Download as CSV".

  2. Use GradeTransferer's Clipboard Grab feature to retrieve the desired name and grade columns.

Troubleshooting

  • Grabbing issues?

  • Ensure you are in the Gradebook page on the Assessments tab.

  • If you have weighting set, scores will be grabbed as a percent only.

  • If you have weighting cleared, scores will be grabbed as points and a percent. Use the Pattern Remover in GradeTransferer's advanced settings to drop everything starting with and including the "/" to grab the earned points only.

  • If you want to grab other types of grades than the Total Grade Percent or Total Grade Points outlined above, you can use GradeTransferer's Clipboard Grab feature to grab scores from an Otus CSV Download.

  • Receiving an error message? Find the associated help article in our Troubleshooting Area.

  • Grades not filling into your next gradebook?

  • Do the rosters match? Check to see if the names on the page in Otus look the same as they do from where you're trying to 'fill'. You can look at the pop-up summary or in the briefcase to see what's been grabbed.

  • If you've got the right class, look more closely at the student names to see if there are naming discrepancies, like typos, middle names, or other formatting issues. To fix name discrepancies, go to the Advanced Settings within GradeTransferer and use the Pattern Remover or the Name Discrepancy Fixer to teach GradeTransferer how the names should be recognized.

🎯 Remember to always review transfers for accuracy and completion. The GradeTransferer service can significantly speed up the transfer process and cut down on errors. However, just as with manual grading, it is the teacher's responsibility to verify that grades are correct within their gradebook.
